The right format for submitting a snag list or punch list

A good report format reduces confusion, limits disputes, and helps remedial teams fix items faster.

Use one line per issue

Each issue should have its own row or item. Do not bundle multiple defects into one sentence.

Include these 6 fields for every item

  1. Reference number
  2. Room name
  3. Location in room
  4. Description of issue
  5. Photo evidence
  6. Status (open/fixed)

Example item format

Ref: 014
Room: Bedroom 2
Location: Wall next to window, left corner
Issue: Visible paint run and uneven finish in daylight
Status: Open

Group by room

Room-based grouping helps contractors schedule work efficiently and avoids unnecessary repeat visits.

Submit one complete version

Send one final file after your walkthrough, not multiple partial updates. If needed, issue a clearly named revision.

Use FixList to keep the format consistent

FixList automatically keeps your entries structured by room with references, photos, and status tracking.
